Hands-off onboarding and offboarding at Clay County Schools

Clay County School District, a school district serving Clay County, Florida, has a lean IT team servicing 40,000 students and 5,000 teachers. With such an extreme IT-to-Staff ratio, the IT team at Clay County Schools looked to BetterCloud for help.

File security can be fun

Managing a file sharing environment in Clay County Schools was a blind spot for the IT team. 

Corey Thompson, Network Support, leveraged BetterCloud to develop workflows that utilize the platform’s content scanning capabilities. BetterCloud scans files proactively and retroactively for potentially harmful content, such as suspicious, violent, explicit, or self-harm related material. When violations are detected, automated actions are triggered based on predefined file-sharing policies.

When BetterCloud takes control of documents that are found to go against Clay County’s file sharing policies, a message is sent to the student from “Boba Fett” to notify them that they violated the said policies.

With such a large environment of both students and teachers, Richard Perkins, Director of Information Services and Network Security, and Corey Thompson, knew they needed a way to practically onboard and offboard users because manual efforts were extremely tedious.

With BetterCloud, Richard and Corey were able to set up no-code workflows to trigger from their HRIS to automatically create accounts from incoming and outgoing teachers.

And even better? BetterCloud is able to add and revoke licenses as students come and go, saving the school big time.
