New features in BetterCloud – June 21, 2019

With this new release, BetterCloud is aiming to enhance our latest Content Scanning release.

New Email Added to Forwarding List Alert for G Suite

With this release, you can set alerts and policies to search for files shared with the domain and with links. You can also set content scanning conditions to uncover if there is any sensitive materials within the files, such as Personally Identifiable Information or credit card numbers.

  • G Suite – File Shared with Domain
  • G Suite – File Shared with Domain with Link

A screenshot displays two notable search results from Google with titles "Files Shared in Domain with Link" and "Files Shared in Domain," each highlighted as "Major." The descriptions below the titles emphasize crucial information related to files shared within a domain. The visual layout features text against a clean background, ensuring clarity of the highlighted major issues concerning file sharing within specified domains.

If this alert is triggered, some of the actions you can take in your domain are to set file sharing settings or to set collaborator permissions.

The "Create Alert" page in BetterCloud displays alert details being configured for files shared within a domain through a link using the G Suite connector. The interface features fields such as 'Alert Name,' 'Description,' and specific parameters like conditions and actions to be taken when the alert is triggered. A side panel likely shows various options to customize and fine-tune the alert settings. The overall design is clean, with intuitive form inputs guiding users through the process of setting up effective alerts for file sharing activities.

If you choose to add the Content Scanning block and the alert is triggered, you will be able to view document permissions. Clicking into that, you are able to see who it was shared with and what that user’s permissions are. You can take one-off actions on the document or create automated workflows to prevent these exposure settings on sensitive data.

File View Links for Content Scanning Alerts

We are excited to announce that with BetterCloud’s recent Content Scanning release, we now provide links to show the file violations if the alert is triggered. Admins are able to click the link that is generated and look through the violations in the document to better determine the correct action to take.

With this new functionality, admins can access a link to the file, but are not automatically added as file collaborators to the file. If the admin does not have access to the file, they can request access or add themselves as a collaborator using Action Engine.

Below is the functionality supported by connector:

G Suite
All file sharing levels will support view links.

Slack
Public file sharing levels will support view links.

Dropbox
Files with public sharing links will support view links. Dropbox will generate links to files when a public sharing link has been generated for that file.

Box
Files with public sharing links will support view links. Box generates links to files when a public sharing link has been generated for that file.

The dashboard highlights two files identified with violations, listing their details and associated owners. Prominent alerts and warning icons emphasize the urgency, with actionable options visible for addressing the issues.

G Suite Email Forwarding Alert

With this release, BetterCloud allows admins to apply a condition against the email forwarded externally alert. This customization allows admins to find users who are forwarding all of their emails to an external domain, rather than resorting to previously hardcoded options, such as gmail.com, yahoo.com, or outlook.com.

The interface shows settings options and text input fields, highlighting the specific filter criteria in bold. The layout is clear, featuring header sections and action buttons for saving or canceling the configuration.
