Monthly Product Roundup – August 2024

NEW FEATURES

For products without an integration, you can add users for better record keeping of access and licensing.

If you’re using a product without an integration, you can now manually add users to it. Here’s how:

  1. Go to the Single Product Page: Find the product you want to manage.
  2. Click “Import User List”: This will open a dialog where you can upload a CSV file.
  3. Prepare your CSV: Make sure your CSV includes these columns: First Name, Last Name, and Primary Email Address.
  4. Add optional information: You can also include a “License Assigned” column.
  5. Import your list: Upload the CSV file and we’ll add the users to your product.

Note:

  • You can create new Spend Optimization (formerly Track) users if they don’t already exist.
  • You can add the same employee multiple times if they have multiple licenses.
  • To remove users, you can use the bulk delete option on the Employee tab.

Navigation made easy

  • Faster navigation: You can now open pages in a new tab by pressing Cmd+click.

ENHANCEMENTS

After editing a contract in the “Need Clarification” tab, the system should automatically return you to the correct tab.

If there are more contracts waiting for clarification, you’ll go back to the “Need Clarification” tab. If there aren’t any left, you’ll be taken to the “Parsed Contracts” tab.

Google OAuth integration users can now filter by number of users

You are now able to sort the “Usage” table by the number of users who have access to each product. This will help you easily identify products with the most or fewest users.

Made AI-generated data easier to see

On the Uploaded Drafts page, we’ve made some changes to make it clearer which information is generated by AI.

  • Moved AI columns to the right: All columns created by AI are now on the right side of the table.
  • Added a teal background: AI-generated columns have a teal background to stand out.
  • Loading indicator: While AI is processing a draft, you’ll see a loading icon next to the AI-generated fields.

These changes will help you easily identify which information is created by AI and which information you’ve added manually.

Hide “Need Clarification” tab when no actions needed

To keep the interface simple, we’ll automatically hide the “Need Clarification” tab if there are no contracts that need your review.

If you hover over the tab, a tooltip will appear explaining why it’s hidden. This will help you quickly understand the status of your contracts.

Manage CSA (Customer Support Agent) groups in the Admin Tool

You can now view and edit the CSA group for your workspace directly in the Admin Tool. This update gives more people access to this important feature.

Here’s how it works:

  1. Go to the Update Workspace Configuration module.
  2. Find the CSA group section.
  3. View or edit the group members.

This change makes it easier to manage your CSA group and ensure your workspace is supported effectively.

Added a red dot to contracts needing clarification

To make it easier to find contracts that need your attention, we’ve added a red dot next to them on the Agreements page. This will help you quickly identify contracts that require clarification.

Center the search BetterCloud button

The “Search BetterCloud” button is now centered on the entire page, not just the empty space. This will make it easier to find and use.

Mark contracts as renewals

Why it matters:

  • Link contracts: Connect new contracts to their predecessors.
  • Streamline management: Easily track and manage contract renewals.

How it works:

  1. Go to the Admin Tool: Find the “Uploaded Drafts” section.
  2. Select a contract: Choose the contract you want to mark as a renewal.
  3. Flag as renewal: Set the “Renewal” status to “True”.
  4. Link to predecessor: Select the previous contract this one is renewing.

Once you’ve flagged a contract as a renewal, the system will automatically update the status of the previous contract and stop sending renewal notifications.

Find product UUIDs easily in the Admin Tool

We’re making it easier to find Product UUIDs (Universally Unique Identifiers) from G2. This will help you use G2’s API to get information about your products.

How it works:

  • Go to the Admin Tool.
  • Search for the product.
  • Find the UUID: The UUID will be displayed.

This will save you time and make it easier to work with G2 data.

Made AI parsing and AI review states easier to tell apart

The “AI Parsing” and “AI Review” states previously looked the same on the Uploaded Drafts page. We have changed this so you can easily see the difference between these two states. This will help you track the progress of your contracts.

Fix for missing custom fields on products page

When you created or deleted a custom field, the “All Products” page was not updating correctly. This means you may not have seen new or deleted fields.

We fixed this issue so that the “All Products” page will always show the latest custom fields.

BetterBot form permissions fix

Sometimes, you may not have needed to set permissions when creating a form. We added an option that lets you skip this step.

How it works:

  • When you create a new form, you’ll see a new option: “No Authorization Required.”
  • Select this option if you don’t need to set permissions.
  • You can then continue creating your form without any extra steps.

This will make it easier to create forms, especially for simple ones that don’t need specific permissions.

Navigation bar issue after visiting restricted pages

When you visited a page you did not have permission to see (a “restricted” page) and then clicked “Back,” the navigation bar may have disappeared.

We applied a fix so that the navigation bar stays visible even after going back from a restricted page.

Hid extra information in BetterBot help messages

When you ask BetterBot for help, the messages you see should be simple and clear. We have updated the Bot to say, “BetterBot will contact you via direct message.”
